WhatsApp Communications
We may communicate with clients via WhatsApp for appointment enquiries, booking administration, customer service and, where consent has been provided, marketing communications.
Information shared through WhatsApp may include your name, telephone number, appointment details and any information you choose to provide within messages. We ask that sensitive medical information is only shared where necessary for your treatment.
WhatsApp is a service provided by WhatsApp LLC and Meta Platforms. Your use of WhatsApp is also subject to WhatsApp's own Privacy Policy and Terms of Service. We recommend reviewing these policies before using WhatsApp to communicate with us.
We will only use your contact details for marketing purposes via WhatsApp where we have a lawful basis to do so, including your consent where required.
Photographs and Images
With your consent, photographs may occasionally be taken before, during or after treatment for clinical records, treatment planning, progress monitoring, training purposes or marketing activities.
Clinical photographs may form part of your confidential treatment record and will be stored securely in the same manner as other client information. These photographs may be retained where required for legal, regulatory, insurance or professional record-keeping purposes.
Training and marketing photographs are entirely optional and will only be used where appropriate consent has been provided. Refusal to consent will not affect your treatment in any way.
Consent for training and marketing photographs may be withdrawn at any time by contacting us. If consent is withdrawn, we will cease future use of the photographs for these purposes and will remove photographs from platforms and materials under our control where reasonably possible. However, photographs that have previously been published online may have been viewed, shared, copied or stored by third parties and complete removal cannot be guaranteed.
How Your Information Is Stored
We securely store client information using GDPR-compliant salon and booking management systems, including Ovatu. Some data may be securely processed outside the UK through trusted third-party providers who meet appropriate GDPR data protection standards. We take appropriate physical, electronic and organisational measures to protect your personal information from unauthorised access, loss or misuse.
How Long We Keep Your Data
We only retain personal information for as long as necessary to fulfil legal, insurance and business requirements. Consultation and treatment records may be securely retained for up to 7 years following your last appointment unless a longer retention period is required by law. If you request closure of your account or deletion of your data, we will securely remove information where legally appropriate to do so.
